What Are Paid Days?
Paid days refer to the total number of days within a payroll cycle for which an employee is entitled to receive salary — encompassing days actually worked, approved paid leave, and designated holidays, as opposed to Loss of Pay days.
How Paid Days Are Calculated
Paid Days = Total Days in the Payroll Cycle − Loss of Pay (LWP) Days. This typically includes present days, approved paid leave (Earned Leave, Casual Leave, Sick Leave), and designated weekly offs/holidays, while excluding unauthorized or unpaid absence.
Why Paid Days Matter for Payroll Accuracy
- Directly determines the actual salary payout for the cycle — salary is typically calculated as (Monthly Salary ÷ Total Days in Month) × Paid Days.
- Errors in paid days calculation directly translate into payroll errors, making accurate attendance and leave tracking essential.
- Forms the basis for statutory contribution calculations (PF, ESI) which are based on actual wages earned for paid days.
Paid Days vs Present Days
Present Days specifically refers to days the employee was physically or remotely at work. Paid Days is broader, including present days plus any approved paid leave and holidays — an employee can have fewer present days than paid days if they took approved leave during the cycle.
How HR Software Helps
An HRMS automatically calculates paid days each cycle by combining attendance data, approved leave records, and the holiday calendar, feeding this directly into payroll processing without manual reconciliation.
