What Is Earned Leave?
Earned Leave (EL), also called Privilege Leave (PL) in some states, is a paid leave category that an employee accrues incrementally based on days worked, intended for planned personal time off such as vacations, and typically carrying forward and remaining eligible for encashment, unlike Casual or Sick Leave.
Earned Leave Accrual Rules in India
EL accrual is governed by the Factories Act, 1948 for factory workers and by respective State Shops & Establishments Acts for other establishments. A common benchmark is roughly 1 day of EL for every 20 days worked, though the exact ratio, minimum service requirement, and annual entitlement vary significantly by state.
Key Features of Earned Leave
- Accrues progressively — typically monthly or quarterly — based on actual days worked
- Usually carries forward to the following year, often up to a state-defined maximum cap (commonly 30-45 days)
- Generally eligible for encashment, particularly at resignation, retirement, or as part of an annual encashment policy
- Requires advance application and manager approval, unlike the shorter-notice Casual Leave
How to Calculate Earned Leave
For an employee accruing 1.5 EL days per completed month, working the full financial year would result in 18 EL days accrued (1.5 × 12), before accounting for any leave already taken during the year, which would reduce the remaining available balance.
How HR Software Helps
An HRMS with configurable, state-specific EL accrual rules automatically calculates accrual, tracks carry-forward caps, and flags encashment eligibility, removing the significant manual tracking burden for companies operating across multiple states.
