Who we are
Trilliant Software Pvt Ltd ("Trilliant", "we", "us", or "our") is an Indian software company that develops and operates a cloud-based HR automation platform for businesses across India. Our platform covers four core product modules:
- Attendance Management System — face-recognition check-in, geo-fencing, shift scheduling, and real-time dashboards for workforce visibility.
- Payroll Management System — automated salary processing, TDS, PF, ESI, and Professional Tax calculations with one-click bank transfer files.
- Compliance Management System — statutory filing automation for PF, ESI, PT, LWF, and Form 16 generation, with deadline alerts.
- Employee Self Service Portal — payslip access, leave management, expense claims, and tax declarations via web and mobile app.

Scope of this policy
This Privacy Policy applies to:
- Visitors to our website at trilliantsoftware.com.
- Customers (businesses) that subscribe to our HR software, payroll software, attendance software, or compliance software products.
- Individual end-users (employees) who access the Employee Self Service Portal or mobile application as authorised by their employer.
- Persons who contact us for sales enquiries, support, or product demonstrations.
By using the Trilliant Software platform, you confirm that you have read and understood this Privacy Policy.
Data we collect
We collect only the minimum personal and business data necessary to provide our HR automation services. This falls into five categories:

How we use your data
Trilliant Software uses collected data exclusively for the following purposes related to our HR software and payroll management services:
- Service delivery — To operate, maintain, and improve the Attendance Management System, Payroll Management System, Compliance Management System, and Employee Self Service Portal.
- Payroll processing — To compute accurate salaries, statutory deductions (PF, ESI, TDS, PT, LWF), generate payslips, and process bank transfer files.
- Statutory compliance — To automate PF/ESI/PT filings, generate Form 16, maintain statutory registers, and send compliance deadline alerts.
- Attendance tracking — To record, validate, and report employee check-in/check-out, shift adherence, leave deductions, and overtime.
- Account management — To manage subscriptions, process payments, send invoices, and handle plan changes or renewals.
- Customer support — To respond to support tickets, troubleshoot issues, and improve service quality based on feedback.
- Security & fraud prevention — To monitor for unauthorised access, detect abuse, and maintain platform integrity.
- Product improvement — To analyse aggregated, anonymised usage patterns for feature development. No individual user data is used for this purpose.
- Legal compliance — To comply with applicable Indian laws, regulatory requirements, and court orders.
We do not use your data for advertising, profiling, or sale to third parties.
Legal basis for processing
Under the Digital Personal Data Protection Act, 2023 (DPDPA) and applicable Indian law, Trilliant processes personal data on the following legal bases:
- Contractual necessity — Processing required to fulfil our subscription agreement with the Customer (e.g., running payroll, generating compliance reports).
- Consent — Where biometric or sensitive personal data is collected (e.g., face recognition for attendance), explicit, informed consent is obtained from the individual employee before collection.
- Legitimate interests — For platform security monitoring, fraud prevention, and service improvement activities, where your interests and rights are not overridden.
- Legal obligation — Where processing is required to comply with statutory requirements under the Income Tax Act, Employees' Provident Funds Act, Employees' State Insurance Act, or other applicable Indian labour laws.
Data sharing & disclosure
Trilliant Software does not sell, rent, or trade personal data. We share data only in the following strictly limited circumstances:
- Cloud infrastructure providers — We host data on secure, Indian-jurisdiction cloud servers. Infrastructure providers have access solely to provide hosting services and are bound by strict data processing agreements.
- Payment processors — Subscription payment data is processed by PCI-DSS-compliant payment gateways. Trilliant does not store full card numbers.
- Government & statutory authorities — We may share data with EPFO, ESIC, the Income Tax Department, or other regulatory bodies where required by law or as instructed by the Customer for statutory filings.
- Professional advisors — Legal, audit, or accounting advisors may access data under strict confidentiality obligations to the extent necessary for their services.
- Business transfers — In the event of a merger, acquisition, or sale of assets, Customer Data may be transferred to the successor entity subject to equivalent privacy protections.
- With your consent — Any other sharing occurs only with your explicit consent.

In the event of a personal data breach likely to result in risk to Data Principals, Trilliant will notify the Customer and relevant authorities within the timelines prescribed under the DPDPA, 2023.
While we implement stringent safeguards, no digital system can guarantee absolute security. Customers should maintain strong password practices and promptly report any suspicious account activity to support@trilliantsoftware.com.
Data retention
We retain personal and business data only for as long as necessary for the purposes described in this policy or as required by Indian law.

After the applicable retention period, data is securely and permanently deleted from all Trilliant systems.
Your rights
Under the Digital Personal Data Protection Act, 2023 and applicable Indian law, individuals whose data we process have the following rights:
To exercise any of these rights, contact our Grievance Officer (Section 14). We will respond within 30 days of receiving a verifiable request. Note that some rights are subject to legal or contractual limitations.
Children's privacy
The Trilliant Software HR platform is designed exclusively for use by businesses and working professionals aged 18 and above. We do not knowingly collect personal data from individuals under the age of 18.
If you believe that we have inadvertently collected data from a minor, please contact us immediately at support@trilliantsoftware.com and we will take prompt steps to delete such data from our systems.
Third-party links
The Trilliant Software platform and website may contain links to third-party websites, government portals (such as the EPFO Unified Portal or Income Tax e-filing portal), or integrated services.
We are not responsible for the privacy practices of any third-party websites. We encourage you to review the privacy policy of every external website you visit. A link from the Trilliant platform does not constitute an endorsement of that website's privacy practices.
Policy updates
Trilliant Software may update this Privacy Policy periodically to reflect changes in our practices, technology, legal requirements, or the scope of our HR software and payroll services.
When we make material changes, we will:
- Update the "Last updated" date at the top of this page.
- Send an email notification to the registered Customer account email address at least 14 days before changes take effect.
- Display a prominent notice on the platform for 30 days following the update.
Continued use of the Trilliant Software platform after the effective date of an updated policy constitutes acceptance of the revised terms.
Grievance officer
In accordance with the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000, Trilliant Software has appointed a Grievance Officer to address privacy-related concerns and data requests.
If you have a complaint, concern, or request relating to this Privacy Policy or your personal data, please contact our Grievance Officer. We aim to acknowledge all complaints within 48 hours and resolve them within 30 days.
